Exhibiting Rates

 

EXHIBIT BOOTHS-$1,500/$700 (NON-PROFIT)

Exhibit booths are 8’ x 10’ and include the following: 8’ high back drape and 3’ high side rails; (1) 6’ skirted table and 2 chairs; wastebasket with liner; ID sign (7” x 44”) with your organization’s name.

TABLETOP EXHIBITS-$900/$400 (NON-PROFIT)

Tabletop exhibits are 8’ x 8’ and include the following: (1) 6’ skirted table and 2 chairs; wastebasket with liner; ID sign (7” x 44”) with your organization’s name.

 

ADDA Rules and Regulations

Disclaimer: ADDA does not endorse products, services, publications, medications or treatments. Exhibition at an ADDA event does not represent an endorsement by ADDA nor is it testimony by ADDA as to the quality of the product exhibited or the validity of the exhibitor’s claims.

Location: The Exhibit Area will be located in the Hyatt Exhibit Hall located on the Main Level of the Detroit Marriot at the Renaissance Center. There is space for 15 exhibit booths and 15 tabletop exhibits. Exhibit booths and tables will be assigned on a first-come, first-served basis.

Acceptance of Exhibits: ADDA reserves the right, at its sole discretion, to accept or reject any requests for exhibit space for the 14th International Conference. Exhibitors may make no claims that they cure AD/HD or make any statements that denigrate other exhibitors or other products.

Exhibitor Registration: Exhibitors must register at the Registration Table in the hotel beginning on Thursday, July 18th between 8:00 am and 9:00 pm. At that time they will receive badges and conference programs. Each exhibitor is entitled to two complimentary conference registrations per booth/tabletop.

Installing and Dismantling: Exhibitors may set up exhibits between 8:00 am and 5:00 pm on Thursday, July 18th. All boxes, crates, etc. must be off the floor and all exhibits must be presentable by 7:00 pm on Thursday, July 18th for the grand opening of the Exhibit Hall. Dismantling may not begin before noon on Sunday, July 21st, and should be completed by 3:00 pm that afternoon. ADDA is not responsible for any materials not removed by that time. All exhibits must be staffed during the hours the Exhibit Area is open, which are 7:00 pm – 9:00 pm on Thursday, 8:00 am – 5:00 pm on Friday and Saturday and 8:00 am – 12:00 pm on Sunday.

Cancellation: Cancellations must be sent in writing to ADDA Headquarters. If a cancellation is received on or before June 20th, all monies, less a $100 administrative fee, will be refunded. NO REFUNDS WILL BE MADE AFTER JUNE 21, 2008.

Appropriate Use of Space: Exhibitors are responsible for keeping the aisle near their booths free of congestion. All sound equipment must be kept at a low level so that it will not disturb other exhibitors or sessions running in nearby areas. ADDA reserves the right to turn off the electricity of an exhibitor who violates this rule. Exhibitors must conform to local fire department regulations. Exhibitors must not injure or deface the walls or floors of the building, booth, or the equipment. ADDA reserves the right to restrict or evict exhibitors that become objectionable because of noise, method of operation, materials, or any other reason that, in the opinion of ADDA, detracts from the character of the Exhibit Area. If an exhibitor is restricted or evicted, no refunds will be made. Exhibitors may not assign, sublet, or apportion all or any part of the space allotted to them.

Please note: To secure space, applications and full payment must be received in the ADDA office by: June 7, 2013.

Liability and Insurance: The exhibitor, upon signing this contract, agrees to protect, save, and hold both ADDA and the Detroit Marriot at the Renaissance Center and all their agents, employees, and beneficiaries (hereinafter called indemnities) forever harmless for any damages or changes imposed for violations of any law or ordinance, whether occasioned by the negligence of the exhibitor or those holding under the exhibitor; and further, exhibitor shall at all times protect and indemnify, save and hold harmless the indemnities against and from any and all losses, costs (including attorney fees), damage, and liability, or expense arising from, or out of or by any reason of, any accident or bodily injury or other occurrence to any person or persons, including the exhibitor, its agents and employees which arises from said exhibitor’s occupancy and use of the Exhibit Area.

The Detroit Marriot at the Renaissance Center shall be included in such policies and additionally named insured. It is the exhibitor’s sole responsibility to obtain business interruption insurance insuring any losses by exhibitor.

Security: Each exhibitor should make provisions to safeguard his/her goods from the time they are placed in the exhibit hall until the time they are removed. Neither ADDA nor the meeting location is responsible for loss or damage. ADDA is not providing security personnel in the exhibit hall or meeting space areas.

Independent Contractors: Exhibitors who plan to use independent contractors must notify ADDA in writing no later than 30 days prior to the conference. The company name, address, telephone number, Certificate of Insurance, name of the supervisor scheduled to be in attendance, and a statement that such contractor will comply with all rules and regulations of the show (including observations of all local labor rules and regulations) is required.

Independent Contractors must abide by the following:

  • Perform all services in a timely manner, in accordance with ADDA established deadlines
  • Provide a Certificate of Insurance to ADDA no later than two weeks prior to the conference
  • Register all employees and temporary help at the exhibitor registration desk

Use of Signage and/or Promotion of Exhibitor Related Events: Exhibitors may not promote non-approved events outside of their space. Unless approved in writing by ADDA, no signs are permitted outside of the exhibitor’s booth. Signs and exhibitor staff holding signs or directing attendees to events or transportation are strictly prohibited in all public areas and common spaces of the host hotel. Any non-approved signs posted outside of the exhibitor’s space will be removed. Any exhibitor or employee representative, agent or guest of exhibitor holding signs or directing attendees to an event will be asked to immediately dismantle, close their exhibit and leave the ADDA conference and host hotel. Additionally, door drops and other on-site promotion of any non-approved event are strictly prohibited.

Smoking: Smoking is not permitted in the exhibit hall at any time, including installation, exhibit hours, and dismantling.
